Using the template
What goes in a maintenance SOP template
A maintenance SOP template is a fixed set of sections every procedure fills in the same way. For a maintenance task that means: what the job is and how often, the safety checks and PPE, the tools and parts, numbered steps, and how you know the job was done right. Name the equipment above and the generator drafts each section. Then you edit it.
The sections in every SOP it drafts
- Title and equipment summary. What the job is and which asset it covers.
- Frequency. The interval, with the reason for it.
- Duration and skill level. How long the job takes and who can do it.
- Safety checks. Each one marked critical, warning or info.
- PPE and tools. What the technician brings to the job.
- Parts. Each part with its quantity.
- Procedure steps. Numbered, at least five, one action each.
- Acceptance criteria. How you know the job was done right.
- References. Manuals and standards, where they apply.
Already have a rough procedure? Choose "Paste existing SOP" and it rewrites your notes into the same sections.
Questions planners ask
- What is the difference between an SOP and a job plan?
- A job plan prepares one job: scope, labor hours, parts and access. An SOP is the standard way to do a task, every time, by anyone qualified. A job plan often points to the SOP. If your plans keep rewriting the same steps, those steps belong in an SOP. Start the plan with the job plan template.
- Is an AI-drafted SOP safe to use as it is?
- No. It is a draft from a general model that has never seen your machine. It does not know your isolation points, your torque values or your permits. Check it against the manual and your lockout procedure, walk it with the technician who does the job, then approve it the way your site approves any procedure.
- Which procedures should become SOPs first?
- Critical work that depends on what one person remembers. Also any job where a root cause analysis ended at "no procedure" or "procedure not followed". The 5 whys template finds those causes. The SOP is how you make the fix stick.
